How to use the DoxFlowy Tag Manager.

 

Within the DoxFlowy Workflow Builder, tags can be considered the backbone of our automated document automation.

In essence, they let DoxFlowy know what to do, how to do it, and where to do it.

There are two types of tags:

  1. Default tags – these are tags that we’ve created and cover common information that you’d need to change often in a dynamic template such as full name, address, state, email, phone number, etc.
  2. Custom tags – These are tags that you can create to meet the needs of your specific situation. For example, if you have a document that requires someone to include the surface area of the site, you can make a custom tag for that.

Custom tags, once created, are available in every subsequent document you create.

The DoxFlowy tag manager allows you to add, delete, track, and edit your custom tags.

To access the tag manager, navigate to the menu on the left-hand side of the screen. Click on the documents option then click on the tag manager menu option.



All your custom tags will be shown in a list like in the image below.



From here, you can do multiple things.

  1. Create new custom tags
  2. Edit existing custom tags
  3. Delete existing custom tags

To create a custom tag, click the ‘create custom tag’ button in the top right of the screen.



To delete a tag, click the ellipsis to the right of the tag’s information. A drop-down will appear and you’ll see an option to delete the tag.



Note: When you delete a tag, it will impact the document workflows that have used the tag in the past.

If you click on the name of the tag, it’ll show you all the details of the tag such as when it was created, description, and so on.

More importantly, it’ll show you every document workflow that’s using the tag. We advise you to check all of your document workflows and make provisions for removing the tags in the documents before deleting the tag in the tag manager.



With the tag manager, you can quickly add all the tags you'll need to use in your document workflows, understand where you've used tags previously, and easily delete tags that are no longer relevant.
