This article will show you the major options and functionality in the document settings.
After you've finished creating a document in the DoxFlowy Documents editor, the next step is to choose the settings.
Many of the available settings such as the name of the document, the name of the workflow, and the description are simple to understand. There are a few that may need further explanation.
This guide will shed light on those options.
Preview settings
In the preview settings section, there are three options:
- Consent checkbox
- Show completed document
- Allow user to download the document
Consent checkbox
this section allows you to add a modal that appears before users start to fill out the form. This modal will require them to provide their consent to whatever message you choose to put there. For example, you can ask them to consent to allow you to use the information provided to generate legal documents or other activities within your organization.
The choice is yours. You can set the heading, the body text, and even provide a URL to your terms and conditions.
Show completed document
This option allows your questionnaire respondents to see the document that's generated after filling out the form. Keep in mind that if you have multiple roles in your workflow, only the last respondent will be able to see the document.
Another thing to note is that if you add a redirect option to the button in the form success screen settings, this option will be overwritten. Instead of seeing the completed document, the respondent will be directed to the page you set.
Allow user to download document
If you've allowed your users to see the completed document, then turning this option on allows them to download it right after they've completed the questionnaire.
Again, if you have multiple roles, only the last respondent will see the the generated document and download it.
Download settings
There are three options in the download settings section.
- File output type
- Download file name
- Numbering
File output type
the output file type allows you to choose whether you want the generated document to be a PDF or Word document.
Download file name
The download file name is different from the workflow name. The download file name allows you to use the document's tags and makes it simpler to sort your list of documents.
For example, you can use something like {{first_name}} NDA to name your NDA agreements. This makes it simple to find and sort the documents that have been generated.
Numbering
The numbering option allows you to give each document generated a different number in a sequence and you can choose the first number to start the sequence. This is useful for things like receipt numbers or invoice numbers.
